HOW 2 STAFF

TLDR:

  • ASSIGN HUMANOID ROLE TO NEWBIES
  • CHAT W/ NEWBIES
  • REPORT ON NEWBIES (GOOD & BAD)
  • ANSWER SIMPLE TICKETS
  • DISCUSS LESS SIMPLE / BEHAVIORAL TICKETS
What the Newbies see!

Newbies Are Precious!

Newbies are our next generation. They arn't lower than us. Their opinions and thoughts are very valuable! A stranger is just a future friend, and we should treat them as such! Often times they can give us a fresh perspective on something that is inefficient or poorly worded.

  • Step 1: Get 'em in! When a Newbie joins, they are isolated from the rest of the server. (See image to the right) They can only see the guest zone, tickets, and a few other channels. To get let in, they need the humanoid role. They can get that from you! Here This is to prevent scammers, bots, and potential malicious people from having instant access to the server.

We have a few bots set up to protect the server. For example, if someone join and tries to tag @everyone, a bot will automatically ban them! Neat! This is also to prevent short-tempered people who may use our server for malicious activities. You'd be surprised how lazy most mean people can be! Double Whammy!

    Greet That Newbie!
  • Step 2: Welcome 'em in! The next thing we should do is welcome them in! Often times a person will join a server, spend 30 seconds looking around, and then throw it in a folder somewhere, never to return. It's important to jump on them ASAP with an experience to keep them coming back! Feel free to make your own "script" or change it up every time! A sample of what Mondo will usually say is at the right under "Greet That Newbie!"! Don't be afraid to be a little unhinged or chaotic. It's a good litmus test to keep the normies out, LOL!

  • Step 3: Chat it up! If you're available, chat with the newbie. Try to get to know them, and if they have similar interests to someone else, tag them and maybe we can pair a few people together to make a friend! For example, if someone likes League of Legends, tag @Zac. If someone likes Warhammer, tag @MysticFlare. If someone likes Factorio, Tag @MondoCat. Make sure to tag relevant channels that they may like, like #🍍⟝foodcraft for people who like to cook, #🔌⟝nerdvana for those that like Linux, etc! This is to get a feel for the newbies and see if they are a good fit for us.

NOTE: Our server is NOT for everyone, and THAT IS OKAY!. If someone is into things that are against our rules, or doesn't fit the vibe of our server, let's be gentle with them and recommend an alternative server, not yell at them. If someone is passionately into politics, we have a politics server we can recommend. If someone is underage, we can recommend a server for minors, such as UrGayNow (16+), Prototype (13+), Virtual Limbs (13+), FurEVER (13+), Wolfie's Hangout (13+), VRC Kmart (13+), LGBTQ Hangout (13+), and Sune's Bar & Hangout (13+), etc. There is a list & search @VRCList

  • Step 4: Report on the newbies. In #💼⟝❛mergency-meeting (This is modchat), post your findings! Was someone acting BAD weird, suspicious, insensitive, or something we should keep an eye on for potential future bad behaviors? Let the others know! We can add them to the #📡⟝sussy-bakas list so we can keep tabs on who may need extra help fitting in. (Mondo has to add them!)

NOTE: Report on the GOOD newbies too, not just the bad ones! If someone is helping others out, might be interested in hosting an event, or might be a good candidate for a mod, talk about it too!

  • Step 5: Assign "I Read The Rules" Role If a newbie reads the Rules, they may make a ticket and say "Hey, I read the rules!" That's awesome, and we want to reward them for that! Give them "I Read The Rules!" role (which makes their name a light green for the duration of theie newbness), thank them for reading the rules, and ask them to close the ticket if they are done. This not only shows us who is paying attention to the rules, but also helps people get acquainted with the ticket system to make it less scary. :3

    How2: Let Newbies In

    Newbie Short Form

When a newbie joins, they cannot see any normal channels until they get the humanoid role. If they go to #2-ᵍᵘᵉˢᵗ-ˢʰᵒʳᵗᶠᵒʳᵐ•ᵖᵈᶠ and grab the short form, fill it out, and post it in #3-ᵍᵘᵉˢᵗ-ᵘⁿᵗⁱᵗˡᵉᵈ•ᵗˣᵗ, they will need approved to join the server. If they filled out the short form correctly, the bot will let them in. (Thanks to Clamor for programming YAG to do this for us!) If they don't, then they will need to manually be let in. That's where you come in!

    Cat Screaming in #🍄⟝everything

In #🍄⟝everything, it will announce when a newbie has joined but hasn't filled out the survey yet. See: This is your cue to jump to #3-ᵍᵘᵉˢᵗ-ᵘⁿᵗⁱᵗˡᵉᵈ•ᵗˣᵗ and tag them, asking them to fill out the short form in #2-ᵍᵘᵉˢᵗ-ˢʰᵒʳᵗᶠᵒʳᵐ•ᵖᵈᶠ. (A quick way of typing the channel name is to type something like "Hi, @name, can you fill out #2- (hit enter) for us". Typing "#2-" and then hitting enter should autocomplete the channel name.)

If they are over 18, please "right click them > Roles > Humanoid". A bot will give them the rest of the roles they need, they will get access to the server, and then the cat will scream their name in #🍄⟝everything. (Thanks to Confused for this bot!) We are an 18+ server, so please do not let anyone in that is under 18. No exceptions. Even if their birthday is in 2 weeks. They can wait 2 weeks.

    This is not optional.

    Answer Tickets!

    What a ticket looks like!

ALL problems in the server must be brought up via a ticket. NOT IN DMS. If people want to bring something up in DM, encourage them to make a ticket. If for some reason they are too scared to click the ticket button, make a ticket for them and bring them into it. This is so that everyone can keep an eye on the tickets, discuss it if needed, and we all be on the same page. Trying to "solve issues" in fragmented DMs only causes issues. This is not optional. All problems require a ticket to be acted upon.

We have 2 main ticket channels & anonymous reporting: #🆘⟝support-tickets and #📧⟝tell-us-things◄. They are functionally identical, but people have said the word "ticket" is scary, so "tell us things" might be a little less scary to click on for someone who is scared of opening a "ticket".

Our anonymous reporting system isn't quite a ticket, but a way of reporting things anonymously. The channel the reports show up in is #📑⟝ddc-reports. To MAKE an anonymous report, in any channel, type Step 1: In any channel, type: /confess-to (and follow the prompts) (You can type this in any channel, it will not send a message in the channel you type this in).

We have no way of knowing who submitted the anonymous report. Not even Mondo. Not even by logging into the bot that handles the anonymous reports. Because of this, we cannot respond to the person who made the report. Any action taken may not be visible to the general public. This channel is only visible to a few head moderators in case something needs to be reported about moderators themselves. The constraints of the anonymous reporting are made clear, so if someone wants a two way conversation they have the option for that, and they chose not to use it.

  • Step 1: Sign up for the Ticket Mod role! Ask Mondo for the Ticket Mod Role (Or give it to yourself?) This will ping you when a ticket is made.

  • Step 2: Read tickets! When a ticket is made, you will be pinged in a thread in #🆘⟝support-tickets. Yes, even if they make the ticket in #📧⟝tell-us-things◄. Read what they have to say, and see if you can act upon it. Most of the time tickets are things we can easily do, such as "I read the rules", "I would like access to the vent channel", "Please let me in the VRC group", "I'd like to host an event", etc.

  • Step 3: Respond to the ticket! If it's something simple, like above, please act upon the ticket, tag the person telling them the thing is done, and ask them to close the ticket if that's all. Thank them for submitting the ticket! If the ticket remains open for more than a week without the person responding, you can close the ticket yourself.

  • Step 4: Discuss the ticket! In #💼⟝❛mergency-meeting, if it's something more than a simple request, such as a behavior report, you might want to discuss the ticket with the other mods. Ask if anyone else has noticed anything, and take note of the behavior report. Right now Mondo is using a shared spreadsheet, but is looking for a better way of logging behavioral issues. If you can think of a better system, please, let's do it! Especially if it's something we can install on the website via Softaculous! Ask the person if they are satisfied with the situation, and if they are, ask them to close the ticket. If they are non-responsive for more than a week, you can close the ticket yourself.

NOTE: Behavioral Issue & Tact is important when discussing the issue. REMEMBER: There are TWO SIDES to EVERY story, no matter HOW convincing the first one is. It is not an exact science, it is a soft subject, and it can be VERY HARD, especially if the issue involves yourself. If the issue DOES involve yourself, or if you are emotionally invested or too close to the subject to be objective, PLEASE step back and have the other mods work on the issue, but give as many details about your side of the story as possible in #💼⟝❛mergency-meeting.
